The technology behind telephone systems has changed a lot in the last decades.
Back then, the IT system and the telephone system used by a company were two completely different things. To manage these system, companies had an IT team to take care of the IT system and a telephone company to take of the telephone system.
However, modern telephone systems run now on the IT system, using a technology called VoIP (Voice Over IP).
A large number of businesses have already made the trasnsition to VoIP today.
Hosting Your Telephone Ssystem in the Office vs. Cloud Hosting
This is a similar topic to servers, if you host them in the office or you rely on a service provider to host all your IT services such as: email, documents sharing, telephone, website, etc.
The downsides of having a VoIP server in your office is that it's a single piece of hardware that you need to buy, to pay for maintenance and when it gets old (outdated), you need to buy it all over again.
Modern companies don't need that type of cost model.
In addition, if you've got just one VoIP server in your office, and that server stops working, then your telephone system will stop working as well.
In technical terms, this would be a single point of failure because you rely on a single piece of hardware to control all your services.
Using a cloud-based VoIP system would be the best choice in this case because you would get rid of the hassle of hosting.
If your company is based in the United States, I suggest you to use Tekie as your VoIP service provider because their service called Tekie Voice, will allow you to answer your phone where ever you are at home or in the office, which means that you'll be able to work virtually anywhere.
With Tekie, you will get rid of the clunky desktop telephones because you will use only a mobile app for making and receiving calls thorugh the cloud-based VoIP service.
If your company is already in contract with another company
If your business is currently in contract with a phone carry provider is very important for you to determine when is the contract ending.
When you initially signed the agreement, which could have been five to ten years ago, there was term in the agreement, a term of 12, 24 or 36 months.
This is usually the auto renewal clause, which tells you what is length of your auto renewal.
It is critically important when you are planning to switch to another VoIP service, to find the end date of your current contract (if you have one), and to notify your current phone provider that you don't want your contract auto renewed.
When choosing your cloud-based VoIP phone service, always try to avoid signing a contract for a long term service because technology changes far too quickly to be commited for hardware and software for such a long period of time (five years).
